1. Who we are
This website gi-golf.com is operated by Glen Ient Golf.
We are the data controller for personal information collected through this website and our club services. The website, booking, competition and member systems are provided for us by nooQ Golf (nooqgolf.com), which acts as our data processor.

We do not collect sensitive personal data (as defined under UK GDPR Article 9) through this website. We do not knowingly collect personal data from children under 13 without verifiable parental consent.
3. Legal basis for processing
Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, we rely on the following lawful bases:
- Legitimate interests (Article 6(1)(f)) — website analytics, security monitoring, and displaying golf competition results.
- Consent (Article 6(1)(a)) — newsletter subscriptions and non-essential cookies. You may withdraw consent at any time.
- Contract (Article 6(1)(b)) — where you are a member or customer and we process your data to deliver membership, bookings or lessons.
- Legal obligation (Article 6(1)(c)) — where we are required to retain records by law (for example, financial records).
4. Competition results and your display choice
We publish competition results on this website, in the member app and in reports and newsletters. Results may show your name, position, score, points and the handicap used. Your contact details, date of birth and membership details are never published.
You choose how your name is shown. Whatever you choose, your scores are kept and still count in the competition and in overall statistics such as course averages. Your choice changes only what is displayed.

To change your choice, email glen@gi-golf.com saying which option you want. We will set it on your record within one month, usually much sooner. Names are hidden on the website and app straight away; overall statistics update overnight. You and our staff can still see your own results.
We cannot recall results already printed or emailed, entries in national handicap records, or report text written before your request. Tell us about a specific past report and we will edit it.
Other golf systems. We may run competitions in Golf Genius, ClubV1 or HowDidiDo, and those systems publish results on their own sites and apps. Your display choice applies to everything on this website and our app, including results imported from them. It does not change what those systems show themselves. Tell us if you want your choice applied there too, and we will update your record in each system we use.
5. Third-party services
This website works with the following third parties. Each acts either as a data processor (acting on our instructions) or as an independent data controller (with its own privacy obligations).
nooQ Golf nooQ Golf provides this website and our booking, competition, membership, email and online-assistant systems, and hosts them on servers in the United Kingdom and European Economic Area. nooQ Golf acts as our data processor under a data processing agreement. It does not sell your data or use it to train AI models.
Golf Genius We use Golf Genius to run tournaments, tee times and competition results. Player data (name, handicap, scores) processed through Golf Genius is governed by the Golf Genius Privacy Policy.
ClubV1 and HowDidiDo Where we use ClubV1 for membership and competitions, or HowDidiDo for competition entry and results, player data is also processed under those providers' own privacy policies. [Link each policy.]
Instagram / Meta Our website may display an embedded feed of our official Instagram account using Instagram's public embed functionality. When pages containing embedded Instagram content load, Meta Platforms Ireland Ltd may collect data about your visit under the Instagram/Meta Privacy Policy. Meta acts as an independent data controller for data collected through its embed. If you are not logged in to Instagram, Meta may still set cookies and collect browsing data through the embed. You can prevent this with a browser extension that blocks third-party scripts.
6. Cookies and analytics
We use cookies and similar technologies to understand how visitors use this website. We do not use advertising or tracking cookies that follow you across other websites.

Our website analytics does not store IP addresses or share data with advertising networks, and is used only to improve the website. You may opt out of analytics cookies via our cookie preferences panel.
7. Data retention
- Contact enquiries — 2 years from last contact, then securely deleted.
- Newsletter subscribers — until you unsubscribe, or after 3 years of inactivity, whichever is sooner.
- Membership and payment records — the length of membership plus 6 years (accounting law).
- Bookings — 3 years.
- Online assistant conversations — 90 minutes for website chat; 24 hours for WhatsApp.
- Analytics data — aggregated and anonymised; up to 26 months.
- Competition results — may be kept indefinitely as part of the club's sporting record, shown according to your display choice (section 4).
- Server logs — automatically purged after 30 days.
8. Your rights
Under UK GDPR you have the following rights regarding your personal data:

To exercise any of these rights, contact us using the details in section 10. We will respond within one calendar month, and may need to verify your identity first. Where other players' results depend on your score, we may keep the score and hide your name rather than delete it.
You may withdraw consent at any time where processing is based on consent. This does not affect the lawfulness of processing before withdrawal.
9. International transfers
Our website, member and booking data is hosted and processed by nooQ Golf in the United Kingdom and European Economic Area.
Where data is transferred outside the United Kingdom by a third party we use (for example, to Meta's servers in the United States, or to Golf Genius infrastructure), we ensure appropriate safeguards are in place under Article 46 UK GDPR, such as the UK International Data Transfer Agreement or Addendum, or a UK adequacy decision.
